THE ROLE
Work as a Contracts and Proposals Executive, Work closely with the sales team and key stakeholders in the development of RFPs, RFIs, contracts, change orders, CDAs and MSAs, managing the end-to-end process of proposals and contracts within the organization. This position requires a detail-oriented individual with exceptional organizational skills and the ability to work collaboratively across various teams.
Responsibilities
- Coordination of the entire contract, RFP, and RFI process from receipt of request to submission.
- Creation of proposal documents in alignment with the agreed strategy, company’s objectives, and client requirements.
- Participate in various team meetings with sales and operations teams to learn, contribute insights, and support cross-functional collaboration.
- Compile and update information for pricing and terms and conditions in contracts, ensuring accuracy and consistency across all documentation.
- Coordinate the collaboration of diverse teams such as sales, technical, legal, and finance to address all aspects of contracts and proposals.
- Maintain thorough contract and proposal documentation, including documents, communication records, and pricing details.
- Develop a high-level understanding of services provided by the company to effectively support proposal development and address client inquiries.
- Hold accountability for the quality and accuracy of all contracts and proposals prepared and sent, ensuring compliance with company standards and client requirements.
- Participation in negotiation of contracts.
- Coordinate with external vendors or subcontractors as necessary to fulfill proposal and contract requirements.
- Proactively seek opportunities to streamline and improve the contracts and proposals process, implementing best practices and lessons learned from previous projects.
- Utilize company’s pricing tool (excel) and RFP software.
Qualifications
- Degree in Business, Life Science or similar area
- 2+ years of relevant experience in detail-oriented work environment
- Fluent in Mandarin and English
- Proposal development experience within the CRO industry
- Excellent communication, collaboration, teamwork, and time management skills
- Experience in working with various stakeholders (e.g. SMEs/senior level mgmt/finance) to prepare client deliverables.
- Experience in working with complex excel tools
- Excellent attention to detail
- Ability to manage multiple assignments at one time
- Knowledge of contractual terms and conditions
- Flexibility of working hours (occasional only)
